LOCATION: Civic Office, Ballymun, Dublin

_ABOUT INNOVATE COMMUNITIES:_

Innovate Communities_ _is a social enterprise and we believe that real
change comes through social innovation, new ideas that work. INSPIRE
mentoring grew from a simple idea; To connect a young person (**Apply
on the website**) that does not have access to a professional network
with a more experience professional with a similar background. We do
this via online mentoring and an online mentoring platform. We are
supported by LinkedIn, Workday and work with several 3rd Level
Universities. INSPIRE mentoring successfully launched in September
**Apply on the website**. Due to it continued success and growth we
are now looking to hire a Project Administrator to support the Project
Manager. This will be **Apply on the website** hours per week with the
possibility of increasing to full time in due course.

_DUTIES & RESPONSIBILITIES:_

The duties of the Project Administrator incorporate the following
areas of responsibilities: -

ADMINISTRATIVE

* Coordinate critical elements of the INSPIRE Mentoring Programme
* Manage project administration ? reporting, forms etc.
* Attendances at project meetings, record actions and the
preparation of meeting notes
* Data Analytics ? Compiling dashboards and drafting of reports
and presentations for issue internally and externally
* Respond to inquiries from Programme participants in a timely
manner
* Manage and co-facilitate mentee network

RELATIONSHIP BUILDING

* Liaise, build and maintain relationships with existing internal and
external stakeholders
* Develop new relationships with programme participants and other
stakeholders
* Work in collaboration with our funders and partners

COMMUNICATION & INFLUENCING

* To maintain knowledge on the status of the project documentation at
all times and be able to report internally
* Draft communications and correspondence to project participants
* Exchange written/oral information and ideas in a clear, concise
manner
* Positively influence others in order to gain commitment
* Keeps PM and key stakeholders informed of important issues and
changes

TECHNICAL ABILITY

* Demonstrates technical ability and knowledge within their role
* Comfortable with technology and demonstrates a willingness to try
new tools
* Thinks of new ways to apply new developments to improve the
project

EVALUATION AND CONTINUOUS IMPROVEMENT

* Maintain and improve the quality assurance of INSPIRE Mentoring and
works towards continuous improvement
* Report on key outcomes agreed for each area of work, and document
and report on programme learnings
* Achieves results, ensuring regulatory and compliance requirements
are met

GENERAL

* Input into social media posts to help promote various projects
* Assist in the production of the content ? ad, video etc.
* Assist with special projects as required or self-determined to
enhance programme delivery
* Support the PM to identify, develop and deliver new channels of
growth
* Other duties as required by the PM

_KEY COMPETENCIES:_

TECHNICAL COMPETENCIES

* Prior experience with Data Management systems
* Excellent knowledge of Word, Excel and tools ? Google Docs,
Zoom, Canva
* Creative mind-set ? input into ideas/campaigns to help improve
programme delivery

INTERPERSONAL & BEHAVIOURAL COMPETENCIES

* Team Work - The ability and desire to work co-operatively with
others on a team
* Ability to use initiative and self-motivated ? ability to work
independently and remotely
* Accuracy & Quality ? Ability to deliver good quality and
accurate work
* Analytical and numerate skills
* Communication Skills ? Interpersonal and Written
* Customer Service & Commercial Awareness ? The drive to
understand, agree and satisfy customer requirements (Funders, and
other stakeholders)
* Organisational Skills ? Ability to resolve conflicting
priorities and meet deadlines
* Flexible working approach

_QUALIFICATIONS & EXPERIENCE:_

Essential:

* Minimum of up to 2 years? relevant work experience in Programme
coordination, implementation of services and stakeholder engagement
* A very good working knowledge of Database management
* Excellent knowledge of the Microsoft suite, Google Docs, Zoom,
Canva

Desirable:

* Experience of facilitating/ or having input into the delivery of
engaging online information sessions/workshops with a variety of
stakeholders
* Experience of supporting a wide variety of clients
* Technology ? comfortable using new technologies
